Conduct Effective Meetings

Values Beliefs Traits Emotions Exceptional Leaders know that meetings can be a very effective tool in managing. That being said, most people would agree that millions of dollars are lost in productivity every day in this country due to ineffective meetings.

Recent data show that professionals now spend nearly three hours per day in business meetings, and more than a third of those polled say the meetings are unproductive.

The first order of business for any meeting is to discuss the process of how the meeting is going to be conducted. Leaping into content without taking this first step can create future issues. Ground rules and objectives need to be developed. Responsibilities and accountabilities need to be determined.

  • Do you publish an agenda or set the agenda at the beginning of the meeting?
  • Are the purposes and desired outcomes clear?
  • Do you clearly define next action steps and assignments?
  • Do you waste valuable time communicating information that can be transmitted by other means?
  • Do you recognize individual differences in tolerance for meetings and allow attendees to leave when they no longer see value in staying?
 

Exceptional Leaders know that too few meetings will likely result in poor communication, while too many meetings may result in a loss of productivity. There needs to be a balance, and all meetings should be conducted with optimal efficiency and respect for others' time.
